RefWorks: In-Depth Help: Adding In-Text Citations

If you want to learn how to use RefWorks on your own, this guide has all the info you need.

Using Write-N-Cite

Write-N-Cite is an MS Word plug-in that allows you to create in-text citations in your papers. Note: To use Write-N-Cite you will need to download and install it onto your computer. Write-N-Cite is compatible with both PCs and Macintoshes. Also compatible with Word 97-2003, 2007, and 2010 documents.

  1. To download Write-N-Cite, click on Tools on the RefWorks toolbar, then select Write-N-Cite. A Web page will appear with instructions to download and install the plug-in. By default, it will go to your Downloads Folder on your computer.
  2. Once it is installed, open Microsoft Word. The ProQuest tab will appear in your MS Word toolbar, click ProQuest tab and Log in with your RefWorks username and password, RefWorks tab will show in your MS Word toolbar and in the meantime it will sync data from RefWorks to MS Word.
  3. check  so your RefWorks data will automatically sync into MS Word document.
  4. In your Word document, chose the citation style on the tool bar you want to use, place the cursor in the text where you need to insert a citation. Then, click on on the top left side of Word Document.
  5. Then  click Insert New, select your reference from the folder and click OK. The in-text citation will appear in your Word Document.


       7. A placeholder that looks like this:(Catangui, Mejia, & Amorim, 2013) will appear in your Word document. This placeholder

          connects your paper to your RefWorks account.

       8. After you have entered all the citation placeholders into your paper and saved your document a final time,

       9. Place cursor in a new page, click on  on the RefWorks toolbar in Word Document, click Insert

           Bibliography, the references will be created.

       10. The placeholders in your paper and a bibliography have been formated in the style you choose.

NOTE: Proofread and save your paper.

One line/Cite

If you are unable to download and install Write-N-Cite on your computer, you may use the Cite icon in RefWorks to create in-text citations.

  1. When viewing your references, select One line/Cite View under Change view click Cite icon that looks like curly brackets: 



      2. A pop-up window will appear with a Citation Viewer: {{1 Catangui,Elmer 2013; 1 Catangui,Elmer 2013;}}

      3. Copy and paste the citation placeholder where you want the in-text citation to appear in your document.

      4. When you have entered all the in-text citations into your paper, save your document. 

      5. Go back to RefWorks, Click on ​located under the toolbar.

      6. Choose your Output Style, and then select "Format Paper and Bibliography."


         7. Browse for your document and upload the file.


       8. A final version of your paper is created. The in-text citations and your bibliography are formated in the style you chose.

       9. Proofread and save your paper.

Citation Style Changes

RefWorks allows you to change citation style in Word Document. If you created citations and references using Write-N-Cite in your Word Document, you will be able to change the citation style in your settings in Microsoft Word under the RefWorks tab. If you manually entered your citations and references, RefWorks will not be able to change the format as it does not have "field codes".


1. Click  under the RefWorks tab in Word Document

2. Choose a new style from drop down menu

The in-text citations and references style will automatically changed in your paper.
